How DocZenAI collects, uses, protects, and shares your information across our mobile apps and website — and the choices and rights you have.
DocZenAI ("DocZenAI", "we", "us", or "our") operates a digital healthcare marketplace that connects patients with verified doctors, pharmacies, laboratories, and diagnostic centers, and supports online consultations, prescriptions, lab bookings, and health-product orders. This Privacy Policy applies to our mobile applications (Android and iOS), our website, and related services (together, the "Services").
Because we handle health-related information, we treat privacy as a core responsibility. Please read this policy carefully. By creating an account or using the Services, you acknowledge the practices described here.
1 Who We Are & Scope
The Services are provided by DocZenAI, Wilmington, DE 19808, USA. DocZenAI is the data controller for the personal information you provide to the platform. Doctors, pharmacies, laboratories, and diagnostic centers on the marketplace are independent providers who act as separate controllers of the information they receive to deliver care and services to you.
This policy covers information handled by DocZenAI. It does not cover the independent privacy practices of providers you choose to engage, or of third-party websites and services that link to or from our Services.
2 Information We Collect
We collect the following categories of information to operate the marketplace:
a. Account & profile information
- Name, username, email address, and phone number
- Password and authentication credentials (stored in encrypted/hashed form)
- Gender, date of birth, and profile photo (optional)
- Address and location (country, state/region, city) used to find nearby providers
- Account role (patient, doctor, pharmacy, laboratory, or diagnostic center)
- For providers: professional credentials, licence/registration numbers, and verification documents
b. Health & sensitive information
- Medical history you choose to provide (conditions, past surgeries, allergies, medications, family and social history)
- Encounter records, prescriptions, and clinical notes created during care
- Laboratory test bookings, investigations, and results
- Consultation details and, where applicable, consent forms
Health information is sensitive personal data and is only collected to provide the Services you request.
c. Bookings, orders & payments
- Appointment, consultation, prescription-order, and lab-booking details
- Transaction records, amounts, and payment status
- Payments are processed by third-party payment providers (Stripe and MTN MoMo). We do not store full card numbers; card and mobile-money details are handled directly by those processors.
d. Communications & content
- In-app messages/chats between patients and providers
- Documents and images you upload (e.g., reports, prescriptions, profile pictures)
- Audio you submit to the optional voice assistant feature
- Support requests and correspondence with us
3 How We Use Your Information
We use your information to:
- Create and manage your account and verify provider credentials
- Enable bookings, online consultations, prescriptions, lab tests, and product orders
- Connect you with the providers you choose and share the details they need to serve you
- Process payments and prevent fraud and abuse
- Send transactional messages, reminders, and notifications
- Provide customer support and respond to your requests
- Maintain security, integrity, and reliability of the Services
- Comply with legal, tax, and regulatory obligations
- Improve and develop features (using aggregated or de-identified data where possible)
We do not sell your personal information, and we do not use your health information for advertising.
5 Third-Party Services
We rely on trusted third parties to deliver parts of the Services. When you use those features, information is shared with the relevant provider under their own privacy terms:
- Stripe — card payment processing
- MTN MoMo — mobile-money payment processing
- Zoom — video/audio consultations
- Google — sign-in and platform services
- OpenAI — optional AI voice-assistant feature
- Email delivery providers — transactional email

6 Health Information & Telemedicine
DocZenAI is a marketplace platform that facilitates access to independent healthcare providers. It is not a healthcare provider and does not provide medical advice, diagnosis, or treatment. Any clinical advice comes from the providers you engage.
Online consultations may take place over video or audio. Where a consultation is recorded, you will be informed and, where required, asked for consent; recordings and consultation notes are treated as sensitive health information. You control the health information you choose to share with a provider.
7 Permissions the App Uses
Our mobile apps request device permissions only for specific features, and only with your consent:
- Camera & Microphone — to take part in video/audio consultations and to capture documents or a profile photo
- Photos / Storage / Files — to upload and download reports, prescriptions, and images
- Notifications — to send appointment reminders, order updates, and messages
- Approximate Location — to help you find nearby providers (optional)
*App does not have any notifications
You can manage or revoke these permissions at any time in your device settings; some features may not work without them.
8 Data Security
We apply administrative, technical, and physical safeguards designed to protect your information, including encryption in transit, hashed passwords, access controls, and role-based permissions that limit who can view sensitive records. No method of transmission or storage is completely secure, but we work continuously to protect your data and will notify affected users and authorities of a data breach where required by applicable law.
9 Data Retention
We keep your information for as long as your account is active and as needed to provide the Services. We may retain certain information for longer where required to meet legal, medical record-keeping, tax, accounting, dispute-resolution, or regulatory obligations, or to protect against fraud and abuse. When information is no longer needed, we delete it or de-identify it.
10 Your Rights & Choices
Depending on your location, you may have the right to:
- Access the personal information we hold about you
- Correct inaccurate or incomplete information
- Delete your account and personal information (see Section 11)
- Restrict or object to certain processing
- Withdraw consent where processing is based on consent
- Request a copy of your information (portability)
- Opt out of non-essential notifications
You can manage much of your information from your account settings, or contact us at support@doczenai.com to exercise any of these rights. We respond to verified requests within the time required by applicable law.
11 Account & Data Deletion
You can request deletion of your account and associated personal data at any time:
- On the website: use our Delete Account request form. You do not need to be signed in — just submit the email address registered on the account.
- By email: send a deletion request from your registered email address to support@doczenai.com with the subject "Delete My Account".
When you delete your account, we remove or de-identify your personal profile and health information, except records we are required to retain for legal, medical record-keeping, financial, or fraud-prevention purposes (see Section 9). Deletion requests are actioned promptly, typically within 30 days. Some information already shared with a provider for care you received may remain in that provider's own records under their retention obligations.
12 Children's Privacy
The Services are intended for users aged 18 and older. We do not knowingly collect personal information from children. Where a parent or legal guardian uses the Services to manage care on behalf of a minor, they are responsible for the information provided. If you believe a child has provided us information without appropriate consent, contact us and we will take steps to delete it.
13 International Data Transfers
We and our service providers may process and store information in countries other than your own. Where information is transferred internationally, we take steps to ensure it remains protected in line with this policy and applicable data-protection laws.
14 Changes to This Policy
We may update this Privacy Policy from time to time. When we make material changes, we will update the "Last updated" date above and, where appropriate, notify you in the app or by email. Your continued use of the Services after an update means you accept the revised policy.
